Key ResponsibilitiesOperator and Execution Excellence, 80% of the first ~12-18 monthsOperational Leadership & Infrastructure Build-OutBuild and Refine Systems: Develop, improve, and document internal processes to enhance efficiency and scalability in a lean, volunteer-driven organization. This includes project management workflows, internal communication protocols, and knowledge management.Day-to-Day Operations: Oversee daily operational activities and problem-solve issues as they arise, ensuring the organizations back-office runs smoothly (e.g. managing deadlines, building out reporting, systems and more). In parallel, document and optimize these operations, automating where possible. Staff Management: Directly supervise and mentor the Community Initiatives & Events Manager. Provide leadership, clear goals, and professional development for this staff member as well as future team members.HR & People Operations: Establish and manage basic HR processes for a growing team. This includes coordinating recruitment and hiring (for volunteers, interns, or staff), onboarding new team members, maintaining HR policies/handbooks, systems to track time off, and support a healthy, inclusive workplace. Technology & Data Management: Oversee the selection and implementation of tools/technologies to streamline operations (for example, donor CRM, event management software, project management tools, collaboration platforms, marketing tools, etc.). Ensure data is being captured and used effectively for decision-making. Ideal applicant looks for how technology can enhance all operations and processes. Financial/Administrative Support: Work with the volunteer Finance Director and Treasurer to support basic financial operations - for example, preparing budgets, monitoring expenditures vs. budget, coordinating invoice and payment processing, and assisting with financial reporting to the Executive Committee. Engagement & Events LeadershipEnable Mission Delivery: Collaborate closely with our Program Director (who leads foundation day-to-day, beneficiary programs and supports event execution) to make sure programmatic and administrative efforts are fully supported operationally. The Program Director manages the execution of beneficiary outreach and daily foundational administrative requirements, and the Chief of Staff supports by optimizing the supporting infrastructure and organizational operations. Event Management & Improvement: Support major fundraising events and initiatives (such as WeishFest, the Andrew Weishar Invitational golf outing, etc.) by setting success conditions. This might include ensuring marketing and ticketing platforms sync with our donor database, tracking sponsorship deliverables, etc. During peak event seasons (while the Community Initiatives & Events Manager is onboarded), lead the team in planning, execution, and on-the-ground leadership to guarantee successful outcomes. Post-event, lead the after-action review to ensure continuous improvement of our event and experience standards. Strategic Planning & Board Leadership, 20% of the first ~12-18 monthsOrganizational Strategic LeadershipAnnual & Quarterly Planning: Coordinate the organizations planning cycles. Lead the preparation of annual operational plans and budgets in collaboration with the Executive Committee and staff, aligning program/event plans with capacity and funding. Similarly, facilitate quarterly goal-setting and review sessions to keep the team focused and accountable to our objectives.Metrics & Impact Tracking: Develop simple dashboards or KPIs to measure organizational performance (e.g. beneficiary impact metrics, fundraising event outcomes, operational efficiency indicators). Regularly monitor and report on these to the Executive Committee, using data to inform decision-making and course corrections.Process Improvement Projects: Continuously seek opportunities to build a more scalable and sustainable backbone for Weish4Ever. Take ownership of special projects aimed at strengthening the organization for example, implementing a new donor stewardship process, improving volunteer management systems, or enhancing our online workflows. Executive Thought Partner & Board LiaisonRight Hand to the Founder: Serve as a trusted partner to the Founder, enabling him to focus on high-impact priorities. Anticipate needs and see around corners to address issues before they escalate. Eagerly seek empowerment by delivering on delegated initiatives. Board Operations: Support the governance work of our Board of Directors. Schedule Board and committee meetings, coordinate logistics, and communicate with Board members on behalf of the Founder as needed. Set the standards for professional and effective board operationse.g., tools that increase efficiency, tracking board initiatives and due-outs, etc. Strategic Communication: Draft internal and external communications on behalf of the Founder and leadership team when required - for example, a quarterly update to the Board, a strategic memo, or an internal announcement to volunteers. Ensure messaging is clear, aligned with our mission, and reaches the right audiences.Qualifications & SkillsWere looking for a well-rounded, driven professional who can excel in this multifaceted role.
